Business Process Management (Bpm) Essay QCHP Lecture: Business Process Management (BPM) Business Process Management (BPM) is a management approach focused on aligning all aspects of an organization with the wants and needs of clients. It is a holistic management approach that promotes business effectiveness and efficiency while striving for innovation, flexibility, and integration with technology. Business process management attempts to improve processes continuously. It could therefore be described as a process optimization process. It is argued that BPM enables organizations to be more efficient, more effective and more capable of change than a functionally focused, traditional hierarchical management approach. A business process is a series or network of value-added activities, performed by their relevant roles or collaborators, to purposefully achieve the common business goal. These processes are critical to any organization as they generate revenue and often represent a significant proportion of costs. As a managerial approach, (BPM) considers processes to be strategic assets of an organization that must be understood, managed, and improved to deliver value added products and services to clients. This foundation is very similar to other Total Quality Management or Continuous Improvement Process methodologies or approaches. BPM goes a step further by stating that this approach can be supported, or enabled, through technology to ensure the viability of the managerial approach in times of stress and change. In fact, BPM is an approach to integrate a change capability to an organization both human and technological. As such, many BPM articles and pundits often discuss BPM from one of two viewpoints: people and/or technology. Roughly speaking, the idea of (business) process is as traditional as concepts of tasks, department, production, outputs. The current management and improvement approach, with formal definitions and technical modeling, has been around since the early 1990s (see business process modeling). Note that in the IT community, the term business process is often used as synonymous of management of middleware processes; or integrating application software tasks. This viewpoint may be overly restrictive. This should be kept in mind when reading software engineering papers that refer to business processes or business process modeling. Although the initial focus of BPM was on the automation of business processes with the use of information technology, it has since been extended to integrate human-driven processes in which human interaction takes place in series or parallel with the use of technology. For example (in workflow systems), when individual steps in the business process require human intuition or judgment to be performed, these steps are assigned to appropriate members within the organization. More advanced forms such as human interaction management are in the complex interaction between human workers in performing a workgroup task. In this case, many people and systems interact in structured, ad-hoc, and sometimes completely dynamic ways to complete one to many transactions. BPM can be used to understand organizations through expanded views that would not otherwise be available to organize and present. These views include the relationships of processes to each other which, when included in the process model, provide for advanced reporting and analysis that would not otherwise be available. BPM is regarded by some as the backbone of enterprise content management. Because BPM allows organizations to abstract business process from technology infrastructure, it goes far beyond automating business processes (software) or solving business problems (suite). BPM enables business to respond to changing consumer, market, and regulatory demands faster than competitors creating competitive advantage. Most recently, technology has allowed the coupling of BPM to other methodologies, such as Six Sigma. BPM tools now allow the user to: Ã¢â¬ ¢ Define baseline the process or the process improvement Ã¢â¬ ¢ Measure Simulate the change to the process. This is often the case when an organization uses the approach for short to medium term objectives rather than trying to transform the organizational culture. To date, many organizations often start a BPM project or program with the objective to optimize an area that has been identified as an area for improvement. In financial sector, BPM is critical to make sure the system delivers a quality service while maintaining regulatory compliance. Currently, the international standards for the task have only limited to the application for IT sectors and ISO/IEC 15944 covers the operational aspects of the business. However, some corporations with the culture of best practices do use standard operating procedures to regulate their operational process. 6] Other standards are currently being worked upon to assist in BPM implementation (BPMN, Enterprise Architecture, Business Motivation Model). BPM technology Some define the BPM System or Suite (BPMS) as the whole of BPM. Others will relate the important concept of information moving between enterprise software packages and immediately think of Service Oriented Architecture (SOA). Still others limit the definition to modeling to create the Ã¢â¬ËperfectÃ¢â¬â¢ process, (see Business modeling). These are partial answers and the technological offerings continue to evolve. The BPMS term may not survive. Today it encompasses the concept of supporting the managerial approach through enabling technology. The BPMS should enable all stakeholders to have a firm understanding of an organization and its performance. The BPMS should facilitate business process change throughout the life cycle stated above. This will assist in the automation of activities, collaboration, integration with other systems, integrating partners through the value chain, etc. For instance, the size and complexity of daily tasks often requires the use of technology to model efficiently. These models facilitate automation and solutions to business problems. These models can also become executable to assist in monitoring and controlling business processes. As such, some people view BPM as the bridge between Information Technology (IT) and Business. In fact, an argument can be made that this holistic approach bridges organizational and technological silos. Use the BOSS System to Save Time and Reduce Frustration When Writing Your Next RFP - The Writers For Hire
USE THE BOSS SYSTEM TO SAVE TIME AND REDUCE FRUSTRATION WHEN WRITING YOUR NEXT RFP Writing a Request for Proposal (RFP) doesnÃ¢â¬â¢t have to be stressful. No really, stick with me. Some corporations and all governmental agencies issue RFPs when they are looking for a company to fill a need. For example, a city may issue an RFP when they need medical staffing companies to create and bid on emergency operation plans in case of a natural disaster. Or a corporation may issue an RFP when they need a software specialist to overhaul their current system. RFPs are an issuerÃ¢â¬â¢s method of relaying their problem or project to potential vendors and asking for a solution. They then use the process to identify the right vendor based on a number of factors, including their experience, ideas, and adherence to the RFP requirements. Why RFPs Make You Feel so Overwhelmed The process sounds simple enough, doesnÃ¢â¬â¢t it? But hereÃ¢â¬â¢s where it gets complicated: RFP issuers have one goal in mind: to find the perfect vendor to fill their needs. And to come to that conclusion, they ask a lot Ã¢â¬â and I mean a lot Ã¢â¬â of questions. They want to know your background, your experience with similar projects, your plan for helping them reach their goal, along with every single detail related to it. No wonder the process stresses you out. Take the Stress Out of Writing with Organization HereÃ¢â¬â¢s the thing: with a little thoughtful organization, the RFP process doesnÃ¢â¬â¢t have to be all that complicated. ItÃ¢â¬â¢s true that youÃ¢â¬â¢re facing a monumental task Ã¢â¬â some RFPs can run 100 pages Ã¢â¬â but instead of looking at it as a whole, letÃ¢â¬â¢s talk about how to break it down into bite-sized, organized pieces. Doing this will take away some of the stress, and allow you to concentrate on creating a masterpiece that will win the bid. The RFP BOSS System I remember the first time I wrote an RFP. I stared at the endless list of questions and multiple documents that held the answers and wondered how in the world I was supposed to extract all of that information and present a cohesive proposal. And I struggled for a while. First I would read the question and then search the documents until I found the right information to compose my answer. And sometimes I would have to read through several documents to get all the information I needed. Not a very effective method. So, I stopped working on the RFP and regrouped. What I really needed was a system. I could continue hunting and pecking my way through the RFP, but that seemed like a monumental waste of time. Something had to give. And so I created the RFP BOSS system. If youÃ¢â¬â¢re faced with an RFP, use this system to organize your information before you begin writing, and you may come to love RFPs as much as I do. I know, weird, huh? B: Before You Start The key to mastering RFPs starts the minute you receive the RFP document. If you completely understand whatÃ¢â¬â¢s expected of you before you begin organizing your documents, it will make the process a lot easier. ThatÃ¢â¬â¢s why you should read the RFP from front to back. Read it slowly and take in all the information the issuer is trying to convey. DonÃ¢â¬â¢t be tempted to skip over the parts of the document you donÃ¢â¬â¢t think you need, because often, there are nuggets of valuable information tucked away in them. As you read the document, make notes of anything thatÃ¢â¬â¢s unclear. Before you reach out to the issuer for clarification click on the link included in the first pages of most RFPs that takes you to the Ã¢â¬Å"answered questions.Ã¢â¬ There, you will find asked and answered questions from other people who read the RFP and probably had the same questions as you. O: Organize the Information Now that you understand the scope of the project, itÃ¢â¬â¢s time to organize the information in a way that makes it easy to use. Start by summarizing the RFP requirements into a list of its major sections. For example, you will probably have an executive summary, qualifications, technical plan, and more. To keep it simple, donÃ¢â¬â¢t make sections for subsections. In other words, if the executive summary includes subsections for history and experience, you should only include the executive summary in your list of sections. After youÃ¢â¬â¢ve made a list of every section you will address in the RFP, highlight each one with a different color. For instance, the executive summary could be blue; the qualifications could be yellow, and so on. DonÃ¢â¬â¢t use red for this step because you will use it for a different purpose later on. In the end, you will have a brightly color-coded RFP section list. Put that aside for now. Next, create a Word document (or whatever document system you use), and copy and paste all of the documents into it that you will pull from when putting together the RFP. For example, you might have an old RFP for reference, a company brochure, charts or graphs, and other documents that contain the notes youÃ¢â¬â¢ll need. Paste them all into this document. DonÃ¢â¬â¢t worry about putting them in order just yet. HereÃ¢â¬â¢s where understanding the RFP is crucial. You now have a large, unwieldy document full of the information you need for your RFP. At first glance, it looks like an unorganized mess. But youÃ¢â¬â¢re about to change that and turn it into the key for your RFP success. To do this, read the document and highlight each paragraph according to the correlating RFP section. You can only do this effectively if youÃ¢â¬â¢ve truly read and understood the RFP in its entirety. For example, if you realize that you will use some random notes for the executive summary, highlight those notes in the color assigned to that section. If you see anything you donÃ¢â¬â¢t think you will use, copy and paste it into a separate document because you never know if you will need it later on. But delete that section from your main document. Do this for the entire document. In the end, the entire thing should be color coded. If you want, you can now organize the document according to color. In other words, put all of the yellows together, the blues together, and so on. Now youÃ¢â¬â¢re ready to start writing. S: Start Writing Now that you have a complete understanding of the RFP and the information you will include in it, itÃ¢â¬â¢s time to start writing. And trust me, it will be a lot easier now that youÃ¢â¬â¢ve done this preliminary work. Start by choosing one color and focusing on that section of the RFP. You can start at the beginning of the RFP or the end Ã¢â¬â it doesnÃ¢â¬â¢t matter. Using your highlighted information, answer each of the questions in the RFP. If you come across a question that you donÃ¢â¬â¢t have an answer for, highlight it in yellow in the RFP document. This will make the last step in the process much easier. As you use each piece of information in the large document, change the color to red. By the time you complete the first section of the RFP, all of that sectionÃ¢â¬â¢s notes should be red. Now, go to the next section of the RFP and do the same thing. Continue writing the proposal this way. Reflection The current landmine situation is one that undoubtedly deserves United StatesÃ¢â¬â¢ attention and unquestionably demands our action. Unfortunately, the US has not completely risen to this call. Although under President Clinton in 1994, we became the worldÃ¢â¬â¢s largest contributor to humanitarian mine clearance, we have yet to sign the Mine Ban Treaty. This critical issue is now under a formal policy review by the Bush Administration in which they will decide if changes are necessary. According to guest lecturer, Dr. Arcangeli, The US Military Demining Program has four main goals. The first is to relieve the plight of the civilian population. This entails going to these countries and aiding them in developing their own system of demining. Though indirectly, this will most certainly assist in the spread of democracy. It begins to place the power, or at least the sense of power, in the hands of the people. Beginning with the feelings of governmental significance, civilians will instinctively become increasingly more involved with their government. The second goal is that is enhancing regional stability. The lands that have all these minefields are very destabilizing to the communities around them. They result in displace population, poor farm production, many lives ripped apart. This also takes a serious toll on the economy of the surrounding areas. Thirdly, the United Sates military wasnÃ¢â¬â¢t to promote the US foreign policy. Traditionally, the US ha s leaned to the isolationist side of international relations, but Nixon and the Post Cold War began to bring us out of seclusion. In Cambodia there are more mines than people and it is not uncommon to see whole families of amputees. Once the mines are positioned it is almost impossible to track exactly where it is. Mine fields have caused the troops placing them to retreat because of their inability to determine where they are. Areas that have been found to be laden with landmines have forced whole villages to leave their land behind and move into larger towns and cities. This greatly throws off the social and economic balance in the areas where these refugees move too. The evil genius works towards putting false images into his mind during his state of slumber and thus ensures that Descartes is unable to distinguish what is real from what is not and whether what he is dreaming actually took place in reality (Descartes 38). Therefore, Descartes is faced with two dilemmas, and one of these is whether life is based on foundations of falsehood and the other is whether life is influenced by an evil genius whose intention is to ensure that individuals are confused about reality and the dream experience.
